There's a difference between a PDF that has a printed line labeled "Signature" and a PDF that has an actual signature field. The printed line is a visual hint — the signer can ignore it, sign somewhere else, or skip it entirely. A proper PDF signature field is a form object embedded in the file that interactive PDF viewers recognize, highlight, and can enforce. When someone clicks it, a signing dialog opens. When it's left blank and the document is submitted, validation can flag it as incomplete. It's a small addition to any form — and a meaningful one.

Two Types of PDF Signature Field
Before adding a signature field, know which type you need:
Electronic Signature Field (E-Signature)
This is the most common type. When the recipient clicks the field, they can draw, type, or upload an image of their signature. The result is a signature image placed in the field — legally binding for most everyday documents under the ESIGN Act (US) and eIDAS (EU). Digital Signature Field (Certificate-Based)
A higher-security option where signing requires a cryptographic digital certificate that verifies the signer's identity. The signature includes a timestamp and detects any changes to the document after signing. Required for some government forms, regulated financial documents, and legal proceedings in specific jurisdictions. Adobe Acrobat and Wondershare PDFelement both support creating and validating certificate-based signature fields.
For the vast majority of business documents — contracts, HR onboarding, consent forms, vendor agreements — an electronic signature field is completely appropriate and legally valid.
Method 1: Add a Signature Field with a PDF Editor (Recommended)
Any full PDF editor that supports form creation can add signature fields. The workflow is nearly identical across tools:
Using Wondershare PDFelement
- Open your PDF in PDFelement.
- Click the Form tab in the top toolbar.
- Select Digital Signature from the form field options.
- Draw the signature field on the page where you want the signature to appear — position it precisely over any existing signature line, or place it where a line should be.
- Double-click the field to open its properties. Set a name (e.g., "Applicant Signature"), add a tooltip (e.g., "Sign here to authorize"), and mark it as required if needed.
- Optionally add a date field alongside the signature field — signers often need to record the date separately.
- Save and distribute the form.
Using Adobe Acrobat Pro
- Go to Tools → Prepare Form.
- Click the Add a Signature Field button in the toolbar (the pen-nib icon).
- Draw the field onto the page.
- In field properties, configure the name, tooltip, and whether it's required.
- If you want a certificate-based field specifically, right-click the field after placing it and choose Properties → Signed tab to configure signing options.
- Save the form.
Method 2: Use eSign for Mobile-First Signature Collection

Method 3: Add a Signature Field in Google Docs / Word Before Exporting
If you're building a form from scratch in Word or Google Docs and will export to PDF, you can set up signature areas in the source document before conversion:
- In Word: Enable the Developer tab, then insert a Signature Line (Insert → Signature Line). This creates a visible signature placeholder that exports to PDF. Note that Word's signature lines don't become true PDF AcroForm signature fields on export — they're visual placeholders. For true interactive fields, add them in a PDF editor after export.
- In Google Docs: No native signature field support — add a table cell or underlined blank space as a visual guide, then add the actual field in a PDF editor post-export.
The cleanest workflow: design your form in Word or Docs for layout, export to PDF, then open in a PDF editor to add all form fields including the signature field.
What the Recipient Experiences
When your recipient opens a PDF with a properly embedded signature field in a compatible viewer (Adobe Acrobat Reader, most modern PDF apps), they'll see the field highlighted — typically in blue — with a pen icon indicating it's interactive. Clicking it opens a signing panel where they can:
- Draw their signature with mouse, trackpad, or finger
- Type their name in a script font
- Upload an image of their handwritten signature
- Use a saved digital certificate (for certificate-based fields)
Once signed, the field displays the signature image and — for certificate-based signatures — a validation strip indicating who signed and when. If the document is subsequently altered, the certificate signature shows as invalid, providing tamper evidence.
On iPhone and iPad, eSign provides the smoothest experience for the signing side — drawing a signature with a finger or Apple Pencil on a touchscreen produces a far more natural-looking result than a mouse-drawn signature on desktop.
Protecting the Form After Adding the Signature Field
Once your signature field is in place, consider locking down the rest of the document before distributing:

- Flatten after signing — once you receive a signed form back, flatten the PDF to lock the signature image permanently into the document before archiving.
